Human Resources / Payroll Coordinator (Contract)
at our Corporate Offices in Ajax, ON
As a detail oriented, customer focused, and collaborative Human Resources / Payroll Coordinator, you will play a critical role in providing exceptional service to our employees and supporting the Human Resources (HR) department with administrative, reporting, and project work. Your exceptional organizational abilities and time management will be critical in conducting HRIS maintenance, general HR administration, processing benefits enrolment and updates, and tasks related to compensation, and other HR projects.
Reporting to the Manager, Total Rewards, and working closely with the rest of the HR team and business partners, you will assist in the timely and efficient monitoring of various HR related processes and programs supporting all VW Brand, Audi Brand, Lamborghini Brand, and Volkswagen Group employees.
HRIS Administration (SAP) / Headcount Reporting
Maintain the HRIS (SAP) by entering data accurately and in a timely manner to meet payroll deadlines, including data entry of all types of employee changes such as new hires, terminations, address changes, status changes, etc.
Liaise with VWGoA on SAP system changes as required
Investigation of SAP issues and upgrade testing
Generate regular reports as well as ad hoc reports on HR metrics for the HR team and other teams within the organization
General HR Departmental Support
Creation and maintenance of employee files, including creating new hire files, maintaining existing and terminated employee files. Coordinate all off-site storage/archiving of HR files.
First point of contact for Employee/Retiree/External HR inquiries
Ensure accurate and timely payment of department invoices.
Maintenance and publishing on VGCA Intranet of Human Resources documents/programs
Preparation of Employment Letters
Pension & Benefit Administration
Benefits administration including annual full time student confirmation, retiree classification changes/updates and regular audits to ensure data accuracy
Processing of monthly benefit premium invoices
Remittance of monthly pension contributions
Maintenance of pension documentation and reporting
Administration of VGCA Programs (Physical Wellness Subsidy, Safety Shoe Subsidy, GoodLife Fitness)
Responsible for entering data accurately into Ceridian Dayforce system in a timely manner to meet payroll deadlines
Review of biweekly overtime forms to ensure alignment to policy prior to processing for payment
Recalculation of taxable benefits associated with assigned vehicles
Support Payroll Manager as needed during peak Year End process (Jan-Mar)

What we’re asking for:
Post-secondary education in Human Resources or equivalent combination of education and experience; CHRP or Payroll Compliance Practitioner designation (PCP) an asset
2-4 years of relevant experience including experience working within an HR department
Working knowledge of employment standards legislation, HR practices, procedures, policies, and practices
A great attitude and proven ability to be an effective communicator, team player, and collaborator
Proven ability to work effectively in a high-volume environment and ensuring key deadlines are met with strong follow-through, attention to detail, and ability to maintain confidentiality
Strong analytical and problem solving skills with a practical and business-oriented approach
Excellent verbal and written communication and presentation skills; fluency in French an asset
Demonstrated interpersonal and people skills to interact effectively with employees at all levels of the organization and with all external contacts
Strong computer skills including database/information management applications (HRIS, etc.) and MS Office; SAP experience an asset
