JOB DESCRIPTION
Administers RFPs and tender/bid submissions, and the contract renewal process
Builds and maintains database for RFP, tender and contact renewals
Develop relationships with Group Purchasing Organization (GPO) administrators
Administer the contracts / RFP department to ensure:1)Websites are reviewed for RFP opportunities daily2)All RFP opportunities are completed with input from the appropriate Regional Manager(s), Marketing Manager, Territory Manager, Repair/Service Manager, and Contract Administrator 3)Access to all information required to complete RFP submissions4)A database of all relevant criteria and information required for the RFP is maintained: Marketing, Financial, Logistics, Administration, Customer Service, Clinical Data, Product and Technical information, which should be used to complete the required documents. Value add statements must be created to ensure consistency based on existing standards
Administer the contract renewal process
Build RFP/tender and contract renewal database and utilize information as a reference for completion of future responses
Report RFP wins/losses and maintain template for same
Develop relationships with GPO administrators to enhance the RFP response
Responsible for RFP renewals, Demande des Prix, Contract Extensions and develop notification process to sales for same
Liaise with customers on building opportunities to improve relationships in conjunction with the sales team and GPO Manager
Create / Maintain reports that will monitor the outcome of RFP’s:a)Communicate with the customer to evaluate an unsuccessful award and build database to improve future responses.b)Add information to reportsc)Communicate to management suggestions for next RFP
Send out monthly status reports on RFP’s / contracts and outstanding status
Work closely with Customer Service in Dublin Ohio to monitor the accuracy of customer rebates
This position is required to assure compliance of Company operations to all applicable laws, regulations and standards, good business practices and company documented procedures (including knowledge of all standards, government occupational health and environmental regulations and statutes related to the site).
Engage others, promote, and participate in Environmental, Health, and Safety initiatives, focusing on continuous improvement.

DUTIES & RESPONSIBILITIES
Undergraduate degree required, BA preferred
Minimum of 3 years in a senior level contracts administrative role
Bilingual English / French is required with strong English/French written skills
Ability to develop and draft business proposals and text to respond to RFP requests
Highly organized and strong time management skills
Solid computer skills (MS Office, Photoshop, Acrobat Writer Oracle would be an asset)
Previous knowledge of medical products industry and/or healthcare GPOs

Abilities:

Able to learn new computer applications
Great people skills with the ability to communicate with all levels of the organization
Excellent verbal and written communication skills in both English and French
Highly accurate and strong keyboarding skills
Work well in and contribute to a team environment
Ability to work under pressure
Detailed- oriented comfortable in a multi task environment
Ability to create statistical information
Take charge attitude with the initiative to get answers and gather crucial information

Planning and Decision Making:

High level of responsibility for planning and organizing RFP submission process
Moderate level of decision making, supported by Regional Managers, Marketing Managers, Repair/Service Manager
Reports to Supervisor, Contract Administration
