The Administrative Assistant will provide invaluable service to the CIMA+ Bowmanville team while applying their organization, communication and interpersonal skills and experience with working in a fast-paced, multidisciplinary office environment. The successful individual in this position will work closely with all departments in the office to maintain organized and accurate administrative practices to ensure unified day-to-day operations.
Reception duties including transfer of phone calls, greeting and welcoming visitors and clients, maintaining a presentable reception area;
Office accounting support including corporate credit card reconciliation and supplier and subcontractor invoice processing;
General office administration including, but not limited to, meeting arrangements, coordination of boardrooms and videoconference equipment, maintaining updated contact lists, organizing lunch orders, ordering supplies, incoming and outgoing mail and courier;
Provide clerical support for office using Office 365 applications;
Printing and collation of proposals, reports, submissions etc. and arranging and ensuring successful delivery of such;
Scanning of documents to maintain digital records in accordance with CIMA Management System (CMS) requirements.
Minimum 3 years of relevant experience, ideally in a professional/technical office environment;
Excellent oral and written communication skills;
Proficiency with Microsoft Office 365 applications (Word, Excel, PowerPoint, Outlook, Project, Teams, OneNote);
Document management experience within an ISO9001 certified organization an asset;
Ability to work independently, as well as in a team environment and possess a dynamic personality;
Ability to learn quickly and multi-task while maintaining attention to quality;
Ability to work fast under pressure;
Meticulous nature, strong attention to detail;
Proactive, takes initiative and well organized;
Previous employment experience within an engineering or architectural company with similar job responsibilities an asset;
Proficient in spoken and written French an asset.
